What we collect and why
Pipeline preview: the intake asks for your first and last name, work email and company website. We store your name, email, company domain, request type and submission time in Google Sheets to handle your request, respond about your preview and arrange a manual follow-up when needed. The legacy demo intake collects the same details.
To generate the preview, we retrieve public content from your company website, use its domain to look up company information in Apollo, and send website content and company information to Google Gemini for business analysis and sample outreach drafts. Apollo also supplies prospective company information such as names, websites, locations, employee counts and revenue. The intake name and work email are not sent to Apollo or Gemini by this pipeline. Sample outreach is generated for display; the pipeline does not send those emails.
Template requests: the request form sends your name, work email, optional firm name, primary niche and optional business challenge to Google Sheets, together with a submission time, so we can handle and follow up on the request.
Bookings: booking links take you to cal.com, which collects the contact details and scheduling information you provide there to arrange a call. Its own privacy notice applies to its service.
Site use: Cloudflare hosts the website and API and processes connection information, including IP addresses, to serve requests and limit preview abuse. Cloudflare Web Analytics provides site usage and performance analytics to help us understand visits and improve the site. We also use request identifiers and limited error codes to troubleshoot lead capture.
Site analytics: we use PostHog, hosted in the EU, to measure page visits, clicks, form outcomes and which sites send visitors to us, so we can improve the site. For ordinary visitors this uses no cookies or browser storage and no session recordings, and PostHog does not receive or store visitor IP addresses. Visits are counted using a short-lived identifier that PostHog derives on its servers and that cannot be traced back to you. The name, email address and website you enter in our forms are never sent to PostHog. If you open the site from a link in a message we sent you, that link carries a random reference code that we can match to you in our own records. PostHog records that code alongside the visit's events, held in memory for the visit only and not stored on your device, so that we know which recipients visited. No profile of you is created in PostHog. PostHog processes this data for us under its own retention settings.
Links in our emails: if you reached our site from a link in an email we sent you, that link carries a reference code. We match that code to our own record of the email we sent you, so we know that you visited and which pages you viewed. We may use this when deciding whether and how to follow up with you. A person reviews any follow-up before it is sent. You can ask us to stop contacting you at any time, and we will not re-contact anyone who has unsubscribed. We do not use cookies for this, and we do not identify other visitors.
We use request information to provide the service, respond to you and understand use of our services. We send business outreach emails to professional contacts. You can opt out at any time by replying or using the unsubscribe link.
Services that receive information
- Google Sheets: stores submitted request details.
- Google Gemini: processes public website content and company information to analyze the business and draft the preview.
- Apollo: receives company domains and company search criteria for research and enrichment.
- PostHog (EU): receives page-visit, click and form-outcome events, and the reference code where a link from us carries one. Events are sent through our own domain, not directly from your browser.
- Cloudflare: hosts the site and API, provides Web Analytics, and caches preview results in Workers KV for up to 48 hours. City-coordinate lookups may be cached for 30 days.
- OpenStreetMap / Nominatim: receives city, region and country queries to place companies on the map. Your browser requests map tiles from OpenStreetMap.
- cal.com: handles information you enter when booking a call.
- Google Fonts and unpkg: serve fonts and map software on existing pages and receive browser connection information when those resources load.
We use these services for the functions described above. They may process information in countries other than your own.
Retention
Retention: we keep identifiable request records for up to 24 months after submission for request handling and analytics, then delete or anonymize them. The short preview and geocoding cache periods above reflect the current code. Retention within third-party services is also subject to their settings and policies.
